Creating an order manually

You can create orders for your customers in the Gambio Admin of your shop under Customers > Customers. Select the customer from the customer list for whom you want to create a new order. The currently selected customer is highlighted in grey. Click on New order in the dropdown. The shop system creates a new, empty order for the selected customer.

Note

In most cases, it is easier and more convenient to create orders on behalf of the customer via the storefront. To do this, register a new customer account for your customer, log in to your shop with the account and carry out the order via the storefront.

Entering customer data

For an existing order, you can enter the customer data, such as the shipping and invoice address, in the order input mask. On the details page of the order, click on Edit in the Order information area to open the order input mask.

  1. The columns Customer address, Shipping address and Invoice address are pre-filled with the customer's default address data
  2. Change the customer addresses if necessary

    The changes to the customer data are not saved in the customer account

  3. From the list Customer group in the order, select the customer group of the customer that is to apply to this order

  4. Change the fields E-mail, Telephone and VAT ID no. if necessary
  5. Click on Apply to save the changes to the customer data

Adding products

You can add new products to an existing order via the order input mask. On the details page of the order, click on Edit in the Products area to open the order input mask.

Attention

Gift voucher products can only be ordered directly in the shop. Manually creating or reworking an order with gift voucher products is not intended; gift vouchers added or edited in this way are not processed by the voucher system.

Instead of a manually created order, the function Log in as customer via the dropdown button of the respective customer account under Customers > Customers should be used to place an order on behalf of the customer.

  1. In the Product search field, enter the name or part of the name of the product to be added; leave the field empty to display all products
  2. Click on Search
  3. In the field in the Quantity column, enter the ordered quantity of the product to be added
  4. Click on Add next to the product number of the product to be added, to add the product to the list above the product search
  5. Repeat steps 2 to 4 until the order is complete
  6. Click on Save to save the ordered products

Recording product variants

If you have added a product with product attributes or properties, you must enter the available variants by hand.

  1. Click on Edit in the Products area
  2. In the row of the product with product attributes, click on Product options or Properties
  3. Select the respective option values or combinations and tick the box for Finish reworking and recalculate order. Finally, click on Close
  4. The selected options are now assigned to the product and are displayed on the details page of the order

Generating order totals

You generate the order totals on the order input mask. On the details page of the order, click on Edit to open the order input mask.

Setting the language of the order

  1. Click on Edit and then on the tab Shipping methods, payment methods and totals
  2. Under Language, select the language to be used in the order confirmation and on the invoice and click on Save

Specifying the payment method and shipping method

  1. Click on Edit and then on the tab Shipping methods, payment methods and totals
  2. Under Payment method, select the desired payment method from the New list and click on Save
  3. Under Shipping method, select the desired shipping method from the New list
  4. Enter the amount of the shipping costs in the Price field
  5. Click on Save to save the shipping costs

The shipping costs are automatically entered in the summary

Calculating order totals

The order totals are calculated automatically. To do this, tick the box for Finish reworking and recalculate order before you close the editing.

You have created an order manually. For manually created orders, no automatic e-mails are sent by the shop system. Information on the further processing of the order can be found in the chapter Processing an order.
