Managing customer accounts

In the Gambio Admin under /admin/customers you manage the customer accounts of your customers. The customer administration consists of two areas: the customer overview (list of all customers) and the customer profile page (detail view of an individual customer).

Customer overview

The customer overview shows all customer accounts in a table with the following columns:

Favorite Star icon for marking important customers
Name First and last name of the customer (linked to the profile page)
Email Email address of the customer
Phone Phone number of the customer
Company Company name of the customer
VAT ID VAT identification number with verification status
Customer group Assigned customer group
Registration date Date of account creation
Last login Date of the last login
Actions Action buttons (appear when hovering with the mouse)

Search and filters

Above the table there is a search field for full-text search across all customer data. The search is executed automatically while you type.

In addition, filters are available:

  • Customer group: Shows only customers of a specific customer group
  • Favorites: Shows only customers marked as favorites

Active filters are displayed as removable badges below the filter bar.

Pagination

Below the table you will find:

  • Entries per page: 20, 30, 50 or 100 entries per page
  • Page navigation: Forward/back buttons and page selection
  • Total count: Display of the total number of customers

Actions in the overview

When hovering over a row with the mouse, the following actions appear:

Quick actions (icons):

  • View profile (eye): Opens the customer profile page
  • View orders (shopping cart): Shows the orders of this customer
  • Send email (envelope): Opens the email editor for this customer

Further actions (dropdown):

  • New order: Creates a new order for this customer
  • Change customer group: Changes the customer group of the customer
  • Log in as customer: Logs you into the storefront as this customer
  • Export personal data: Creates a GDPR-compliant export of all personal data
  • Delete personal data: Removes selected personal data (with GoBD warning)
  • Delete customer account: Removes the entire customer account (with GoBD warning)

Deleting guest accounts

Via the button Delete guest accounts above the table, you can remove all outdated guest accounts at once. A confirmation prompt appears before deletion.

Creating a customer manually

Via the button Add customer, a multi-step wizard is opened that guides you through the creation of a new customer account:

Step Fields
1. Personal data Salutation, first name, last name, date of birth, customer number (generated automatically)
2. Contact data Email address (checked for uniqueness), phone number, fax number
3. Business data Company name, VAT ID, merchant status, VAT ID validation
4. Address Street, house number, postal code, city, country, state, additional information
5. Settings Customer group, password, credit balance, favorite, newsletter subscription, send email with access data

Each step shows a green check mark when it is completely and correctly filled in. In case of validation errors, a warning icon is displayed.

Customer profile page

Click on the name of a customer in the overview or on the eye icon to open the profile page. The profile page is divided into several areas:

Header area

The following actions are available in the header area:

  • Log in as customer: Opens the shop as a logged-in customer (with security notice)
  • Email: Opens the email editor with the customer address pre-filled
  • New order: Creates a new order for this customer

The left sidebar shows the most important customer data at a glance. Each area can be edited directly by clicking on the pencil icon:

Business card (top):

  • Name of the customer (clickable for editing)
  • Favorite star for marking
  • Badges: customer group, newsletter status, merchant status, VAT ID verification
  • Dropdown menu with: change customer group, change password, export data, delete data, delete account

Personal information:

  • Customer number, salutation, date of birth

Contact data:

  • Email address, phone number, fax number

Business data:

  • Company name, VAT ID (with verification status)

Address:

  • Complete default address (street, postal code, city, country etc.)

Configuration:

  • Blocked payment methods and shipping methods
  • Admin activity logging
  • Newsletter status

Statistics cards

Above the main area, four statistics cards are displayed:

Card Description
Total revenue Sum of all orders
Total orders Number of all orders
Average order value Calculated average
Credit balance Current customer credit balance (editable)

Tab areas

The main area contains five tabs:

History

A visual timeline of all customer activities, grouped by date:

  • Placed orders (linked to the order details page)
  • Product reviews (with star rating)
  • Account creation
  • Gift voucher redemptions
  • Products added to the shopping cart
  • Products added to the wish list
  • Newsletter subscriptions

Orders

List of all customer orders with order ID, status, date, payment method, shipping country, number of products and total amount. Each order is linked directly to the order details page.

Wish list

Shows the current wish list of the customer with product image, product name, quantity, product number and selected options. The wish list can be completely deleted via Empty wish list.

Shopping cart

Shows the current shopping cart contents of the customer with the same details as the wish list. The shopping cart can be completely deleted via Empty shopping cart.

Reviews

List of all product reviews of this customer with product image, product name, review date, star rating and review text.

Notes

In the right column there is a notes area in which you can store internal remarks about a customer. Each note shows the name of its creator and can be deleted.

Editing a customer account

On the customer profile page, all customer data can be edited directly. Click on the pencil icon next to the respective area in the sidebar to start editing. After changing the data, it is saved automatically.

Restricting customer accounts

In the Configuration area on the customer profile page, you can restrict the allowed payment methods and shipping methods for individual customer accounts. Blocked modules are displayed as badges and can be added or removed there.

Note

If you want to apply the same restrictions to the customer accounts of several customers, create a new customer group instead, as described in the chapter Customer groups, and assign the customers to this customer group.

Deleting a customer account

  1. In the customer overview or on the profile page, select the option Delete customer account via the dropdown menu
  2. A dialog appears with a GoBD notice regarding statutory retention periods
  3. Use the checkboxes to select which additional data should be deleted (orders, withdrawals, consents, emails, reviews, newsletter subscriptions)
  4. Click on Delete to irrevocably remove the customer account

Attention

When deleting a customer account, the master data, the shopping cart, the wish list and the credit balance are irrevocably removed. Observe the statutory retention periods (GoBD).

Exporting personal data

Via the function Export personal data, a GDPR-compliant export of all data stored for this customer account is created. The export includes:

  • Master data including addresses
  • Orders, invoices and delivery notes
  • Withdrawals
  • Consents
  • Emails
  • Shopping carts
  • Reviews
  • Newsletter subscriptions

The export is opened as a download in a new tab.

Deleting personal data

Via the function Delete personal data, the personal data of a customer account can be selectively removed without deleting the account itself (anonymization). A dialog appears with a GoBD notice and checkboxes for selecting the data categories to be deleted.

Changing the customer group

The customer group of a customer can be changed via the dropdown menu in the overview or via the business card on the profile page. Select the desired customer group and confirm the change.
